Saanvi Nexus Private Limited ("Saanvi Nexus", "we", "us"), a company registered in India (CIN U62099OD2024PTC046236) with its registered office at Flat No. 301, 3rd Floor, Mahodadhi Realcon, Hansapal, Andilo, Khordha, Odisha 752101, India, runs Career Studio. We decide why and how your personal data is used. In India we are the "Data Fiduciary" under the Digital Personal Data Protection Act, 2023 (the "DPDP Act"), and where the UK or EU GDPR applies we are the "controller".

Saanvi Nexus Private Limited has a branch in Ireland, which is our establishment in the European Union, so we have not appointed a separate EU representative. We have not appointed a representative in the United Kingdom; if the law requires us to appoint one, we will name them here.

2. What this policy coversCopy link to this section

This policy applies to personal data we handle when you visit our website, create an account, use Career Studio, contact us or receive our messages. It does not cover other websites that we link to.

3. The personal data we collectCopy link to this section

Data you give us:

• Account details: name, email address, password (stored in protected form) and, if you choose to sign in with another service, the basic profile details it shares with us.
• Career information: resume or CV content, work history, education, skills, certifications, achievements, target roles, location and job preferences, and career goals.
• Job search activity: jobs you save or track, application stages, notes, follow ups and results you record.
• Content you create or share: cover letters, interview answers, messages to the AI Career Coach and, if you choose to share it, content from your LinkedIn profile.
• Payment details: payments are handled by Razorpay. We receive information such as your plan, billing period, payment status and the last digits of your card. We do not store your full card number.
• Messages you send us, support requests and survey responses.
• Job applications you send us: the details, CV and any note you submit, such as your contact details, experience, location, compensation and notice period.

Data we collect automatically:

• Device and usage data, such as your IP address, browser type, device type, pages and features used, timestamps and error reports.
• Approximate location (city or country level) worked out from your IP address.
• Information from cookies and similar technologies. See our Cookie Policy.

Data from other sources:

• Sign in services you choose to use, our payment provider, and analytics or security providers.
• Job data and employer information from third party job sources, which we use to show job listings. [OWNER TO CONFIRM: name the job data providers before launch, or remove this line if Career Studio does not take job data from anyone else.]

Sensitive data: we do not ask you for sensitive personal data such as health, ethnicity, religion, sexual orientation or political views. If you choose to put it in your resume, we will process it only to provide the service to you. Please include only what you want in your applications.

4. How and why we use your dataCopy link to this section

• To create and manage your account and provide Career Studio, including generating AI guidance, scores, rewrites and recommendations from your information.
• To connect what each tool learns about you, so Saanvi AI can suggest the next best action.
• To take payments, manage plans and prevent fraud.
• To keep Career Studio secure, fix errors and prevent misuse.
• To give you help and respond to your questions and complaints.
• To consider a job application you send us, and to reply to a partnership or other enquiry.
• To improve and develop Career Studio, for example by understanding which features are used.
• To send you service messages, and marketing messages where the law allows and with your choices respected.
• To meet our legal and regulatory duties and to establish, exercise or defend legal claims.

5. Our legal basesCopy link to this section

Where the UK or EU GDPR applies we rely on: performance of our contract with you (to provide the service you asked for); your consent (for example, for non essential cookies and some marketing), which you can withdraw at any time; our legitimate interests (running, securing and improving Career Studio, and preventing fraud, when these are not outweighed by your rights); and legal obligations.

In India we process personal data with your consent, or for other uses the DPDP Act allows. You can withdraw consent at any time as described below; this does not affect processing already done.

6. AI and automated processingCopy link to this section

Career Studio uses artificial intelligence to produce guidance from the information you provide. Some of your data is sent to AI service providers who process it for us under our instructions. Our AI Transparency notice names the providers, explains what is sent, and says whether your data is used to train AI models.

We do not make decisions about you that have legal or similarly significant effects based solely on automated processing. Scores and matches are insights to help you; you decide what to do. If you would like a person to review any guidance or result, contact privacy@careerstudio.io.

7. Who we share your data withCopy link to this section

We do not sell your personal data. We share it only with:

• service providers who help us run Career Studio, such as hosting, Razorpay, email delivery, customer support, analytics, security and error monitoring, and AI service providers. They may use your data only on our instructions and under contracts that require them to protect it;
• employers, only if you choose to share your information through a feature that clearly says it will do so. Career Studio does not send your resume to employers on your behalf otherwise;
• professional advisers, courts, regulators or law enforcement where the law requires or allows;
• another organisation if we merge with, are bought by, or sell part of our business. We will tell you if your data is transferred, and this policy will continue to apply unless you are told otherwise;
• anyone else, but only with your consent or at your request.

8. Transfers outside your countryCopy link to this section

We are based in India and our service providers may be elsewhere. Our systems are hosted in Mumbai, India. If you are in the UK or the European Economic Area, your data will be processed outside those regions. Where required, we use safeguards such as the European Commission's Standard Contractual Clauses and the UK International Data Transfer Addendum or Agreement, or rely on an adequacy decision. Under the DPDP Act, transfers abroad are allowed except to countries the Indian Government restricts.

9. How long we keep your dataCopy link to this section

We keep personal data only as long as we need it for the purposes above or the law requires.

• Account and career data: while your account is open. After you close it we delete or anonymise it within 30 days, apart from the items below.
• Backups: removed within 35 days of deletion.
• Billing and tax records: 8 years, as required by law.
• Support and complaint records: 36 months after the matter is closed.
• Security and log data: 12 months.
• Job applications you send us: kept for 6 months if there is no vacancy, unless you ask us to delete them sooner.

10. Your rightsCopy link to this section

Depending on where you live, you may have the right to:

• access the personal data we hold about you and get a copy;
• correct or complete it;
• delete it (erasure);
• restrict or object to some processing;
• receive your data in a portable format;
• withdraw your consent at any time;
• not be subject to decisions based solely on automated processing that have significant effects;
• in India, nominate another person to exercise your rights if you die or cannot act, and use our grievance process.

To use any right, email privacy@careerstudio.io. We may ask you to confirm your identity. We aim to reply within one month, and will tell you if we need more time.

If you are unhappy with our answer, you can complain to us first. You can also complain to a regulator: the Data Protection Board of India, the UK Information Commissioner's Office, the Irish Data Protection Commission, or your local data protection authority.

11. Marketing choicesCopy link to this section

You can opt out of marketing messages at any time using the unsubscribe link or by emailing us. We may still send you service messages, such as account, security and billing notices.

We use technical and organisational measures to protect personal data, such as encryption in transit, access controls and monitoring. No online service is completely secure, so please use a strong, unique password and keep it private. If a breach affects your data in a way the law requires us to report, we will tell you and the authorities.

Career Studio is for people aged 18 and over. We do not knowingly collect personal data from anyone under 18. If you think a child has given us data, please contact us and we will delete it.

Our service may link to other websites, such as job listings. We do not control them and are not responsible for their privacy practices. Please read their policies.

We may update this policy. We will show the date of the latest update at the top of this page, and tell you about important changes by email or in the service.
